Tips For Using Microsoft Teams Communication

You have a busy schedule and multiple teammates. This leads to having numerous conversations with individuals, groups, or even chats that are across the entire company. With so many different channels, it gets confusing remembering the topic of a group chat versus a talk with a coworker. To help a conversation stand out and make it searchable, you give it a title. There is a pencil icon next to the member names of a chat. Click this icon and type the title you’d like to name the chat. Now you have a series of keywords that help you quickly search for the chat when you need to address a new point or concern.

If you need to be in constant contact with your coworkers but won’t always be in front of your computer, Teams has a mobile app you can use for mobile communication. The app streamlines Teams, emphasizing team chats and channels without the more technical features. If you need to enter a video chat, it also has that capability, so long as you have a consistent internet connection. If the desktop app isn’t working, Teams also has a web app for additional access options.

Integration With Microsoft Planner and Beyond

One positive to using Teams over alternative communication apps is that other Microsoft apps like Planner can integrate into your Teams layout. Planner is a task management tool that pins to any channel you want, making that specific channel more accessible and easier to manage. The Planner shows up as a tab on top of the channel. If you need a new task assigned to that channel, click the plus sign and type in anything you want. The channel will receive a notification, and you’ll have a communication method at your fingertips to answer any questions.

Microsoft Teams isn’t an exclusive club either. If you have a business partner or client that has an Outlook account, you can give them guest access to your company for file sharing, video meetings, and more. If you search the name of anyone in your company, you’ll find the option to chat with them, regardless of whether they have Teams. Since you aren’t limited to only using the app, you can reach anyone in seconds.

Microsoft Teams Shortcuts

There are a few keyboard shortcuts that simplify your communication processes. Some of the more essential shortcuts are:

  • Press the R key to reply to a thread in the Teams app.
  • Press Alt-A on Windows (Option-A on Mac) to attach a file to a message.
  • Press Ctrl+Comma(,) to pull up the Settings menu.
  • Press Ctrl+Shift+I to mark an item as important.
  • On Windows, press Ctrl+E to pull up the search field, then type /keys, and press Enter to find a full list of keyboard shortcuts on Windows. 
  • Alternatively, on Mac, press Command+E to move the focus of the search field, type /keys, and press Return.
